OTDI is making important updates to the Mailman mailing list system to improve performance, security, and usability. Mailman is the software application we use for managing electronic mailing lists.
We are upgrading our Mailman software from version 2 to version 3, and migrating the existing lists and archives. The Mailman 3 upgrade delivers a modern, more efficient platform that improves list management, email delivery, and responsiveness. Using your Ohio State login instead of a separate login enhances security and simplifies access. Below is a list of what will change because of the migration.
Migration Impact
- The Mailman webpage will be temporarily unavailable during the migration.
- There will be a delay in email delivery during the migration.
- The ServiceNow request item for creating a Mailman mailing list is changing and will be temporarily unavailable.
- Pending held messages will not be migrated.
- External email addresses will no longer be able to log into Mailman.
- You will now log in to Mailman via the Microsoft Login link using your lastname.# account and password.
Changes to Resources and URLs
- Log in to the Administrative Resource Center (ARC) to access updated documentation.
- The main URL for Mailman will stay the same – https://lists.osu.edu.
- Archive URL links will change.
A reminder about Mailman settings and security.
- Mailman is only for S1 data.
- Leave the “Show list on index page” setting set to “No.”
- If you have archiving set up do NOT set “Archive policy” to “Public archives.”
- Mailman lists can be used to send to both external and internal recipients, not just internal recipients such as @osu.edu and @buckeyemail.osu.edu email addresses.
